Research Administrative Assistant

The Bruyère Research Institute partners with Bruyère, the University of Ottawa and other stakeholders to conduct relevant and practical health sciences research related to medical education and improving the quality of life for the aging population and people requiring continuing care.


Function Summary

This role is responsible for supporting the day-to-day research administrative activities for the Research Lead and Senior Research Manager of the Division of Palliative Care. Key responsibilities include logistical support, document and CV management, grant coordination, event planning, booking meetings, data collection and entry support, and other duties as required.


Main duties and responsibilities

  • Assisting with grant coordination and submissions: uploading documents; editing and formatting documents; obtaining signatures and complete CVs; applicant tracking; ensuring investigators & staff are aware of needed documents & timelines; sending reminders and follow-up with people; references
  • Assisting with manuscript and abstract submissions, including managing references and formatting
  • Providing support for data collection and entry e.g. budget information
  • Assisting with research ethics board (REB) applications (e.g. paperwork for annual renewals, obtaining signatures)
  • Tracking contract and REB approvals and termination/expiry dates
  • Tracking Division research projects and progress
  • Organizing annual research retreat under the direction of the Research Lead
  • Drafting correspondence and communications
  • Scheduling and planning for meetings and events; coordinating logistics: video and teleconference meetings, event promotion, preparation of participant packages
  • Minute-taking and tracking action items
  • Preparing agendas
  • Completing and maintaining research CVs in various formats
  • Maintaining study team training documentation
  • Contracting coordination and obtaining signatures
  • Managing Calendar
  • Assisting with human resources management: assisting with new hiring, booking performance reviews
  • Providing additional support to Division members as directed by Senior Research Manager
  • Tracking expenses and corporate credit card reconciliation
  • Preparing financial expense reimbursement documentation (e.g. requests for petty cash)
  • Arranging for invoice payment
  • Ordering supplies
  • Additional duties may be added as projects progress


Required Qualifications and Competencies

  • Community College Diploma of two (2) years in a relevant discipline
  • Minimum one (1) year of relevant experience
  • Excellent verbal and written communication skills
  • Strong attention to detail
  • Strong organizational and time management skills
  • Demonstrated ability to multi-task, problem-solve, and prioritize tasks
  • Ability to meet tight timelines and deadlines
  • Knowledge of reference management software (Reference Manager, EndNote, RefWorks, etc.)
  • Knowledge of Microsoft Office Suite (Microsoft Word, Excel, PPT, OneDrive, SharePoint)
  • Knowledge of virtual meeting platforms, including Microsoft Teams and Zoom
  • Experience managing CVs in various format (e.g. Canadian Common CV or CCV, Uniweb, etc.)
  • Experience with research grant coordination
  • Experience with planning and booking meetings, agenda preparation, and minute-taking
  • Exposure to working with palliative/end-of-life population, an asset
  • Fluent in French and English, an asset
